Smart Tips for OneDrive for Business – Password Protect Files with Sensitive Information & More In our March issue, we have introduced how to share large files in the cloud storage, OneDrive for Business, which provides 1TB of storage quota per user. In this issue, we will provide some smart tips on using OneDrive for Business.
Password Protection for Sensitive Information If you are going to send out / share a file which contains sensitive / confidential information, it is recommended that you add a password to protect the file before uploading it to OneDrive for Business. Don’t know how to do it? Follow the steps here. Please be reminded to send the password to your recipient via a separate email.
How to Set Permission when Sharing a File When you are going to share a file/folder, make sure you set the sharing permission properly.
Editing Permission When sharing on Outlook on the Web
When sharing in OneDrive for Business:
1. Create a message in Outlook on the Web
1. Go to OneDrive for Business
2. Attach a file which is on OneDrive for Business
3. Click the pull down menu of the file
3. Click the pull down menu of the attachment
2. Upload a file 4. Select Share
4. Select Change Permission
How Can External Users Access Shared Files If you are sharing a file/folder with an external user (non-PolyU Connect and Staff Email Service users) with login required, the external user will need to register a MS account (https://signup.live.com/) in order to access the shared file/folder.
