Client and Caregiver Lists

Client and Caregiver lists allow you to scroll through to view and edit each person’s information quickly and easily. These lists can be sorted and filtered in a variety of ways. The Client and Caregiver lists work essentially the same, with minor differences that are particular to Clients or Caregivers. We’ll use the Client List as an example to look at some of the features and functions of the lists, and point out some differences in the Caregiver list as we go. To open a Client List, • Click on the 'Clients' menu and choose one of the Client List options.
Figure 16: Client List - Active • Client List – All - gives you the list of all Clients, regardless of their current status. • Each of the other choices gives you a Client List already filtered to show only Clients with that particular status.

Click on a name in the list, and their Client profile will appear below. • The Client profile gives access to all of the Client’s information. • When first opened, the Client profile displays the Summary tab, which prominently features the Client’s list of Services. • In the case where you have a Client with multiple Services, the list of Services can be sorted by Number, Type and Times. Do this by clicking on the corresponding column heading.

Changing Filters Changing filters allows you to narrow down the caregiver you wish to view, • Go to the View menu. • Select from the list to include only those Clients with the Status or Statuses you choose. o For example, you might generally only want to see the Active Clients when you are scheduling, but include the Inactive Clients when you are scheduling ahead, if you know that one or more is due to become Active again. • To change which groups are included, just click on that Status in the menu to toggle it on or off. **Note: you don’t have to wait until the Client List is fully redisplayed before toggling another filter item; just go right back to the menu and select items until you have the group or combination of groups that you would like to see.

Active During • You also have the option to sort any list by "Active During". • This option allows you to see what clients or caregivers were active during a period of time of your choosing. An example would be to see how many active clients you had last quarter. This will show all clients who were active at all during that quarter, including clients who are currently discontinued.

Print the list • Go to the File menu and click Print List. • You will get a dialog box with options to control whether you include addresses, phone numbers or just names.

• If you use the Preview in Word button, you can see and edit the list before printing. This can be handy if you want to adjust margins or fonts before printing. Export the List • Go to the File menu • Select Export List to spreadsheet... For more about export options, see the section called Export to Spreadsheet.
